    Zyncro Mail: add an email manager to your corporate Zyncro

    At Zyncro we understand that email is not only one of the top corporate communication tools, but also one of the most time-consuming tasks each day. That’s why we’ve found a way to optimize email use and make it much easier to manage within a social environment.

    The ZyncroApp adds an email manager to your corporate Zyncro and allows each user to view their inbox and respond (send, reply, forward, mark as spam and delete emails) quickly and easily, without having to sign out of the Enterprise Social Network.

    Thanks to ZyncroMail, your email will be integrated into your work environment and all your corporate knowledge and information will be accessible from the same place.

    How do I start using ZyncroMail?

    To begin, your company administrator must enable the ZyncroApp from the Admin Panel. All users will then have the option of activating it by going to the right-hand menu on their Profile, where they will see the option to configure ZyncroMail.

    Bulk User Management: Simplify Your Enterprise Social Network’s Task Management

    At Zyncro we are convinced that an Enterprise Social Network has to adapt itself to the business and the organization. With this new ZyncroApp, we offer a tool for making quick and easy tasks such as adding new employees, replicating the structure of the organization, attributing rights according to the position of the employee, creating working groups, etc.

    How to use the “Bulk User Management” ZyncroApp

    Once the ZyncroApp is activated by the administrator of the network, the button «”Import from CSV”» will automatically appear in the “User Management” section of the administration panel.

    This functionality allows you to fulfill the following operations:

    • Create or delete users
    • Add or remove users from the group
    • Add or remove users from a department
    • Add or remove users from an enterprise
    • Create groups
    • Create departments
    • Create enterprises
    • Activate or deactivate users

    These operations have to be defined in a CSV file. To facilitate this task, we provide the administrator with a CSV template with a document describing where different criteria is met. (More …)

    Favorites 2.0 – Your Most Used Zyncro Entries Are Just a Click Away

    As we make greater use of the Zyncro platform, we accumulate countless work groups, departments, files, contacts and messages. Thus, we run the risk of losing sight of the elements we use the most in our everyday work, the ones we access most frequently or the ones that are the most necessary to remember, either at a punctual point in time or over a given period of time.

    Therefore, we are convinced that by providing the possibility to personalize the entries will expedite access to tools and improve productivity.

    With this ZyncroApp you will be able to mark the people, groups, departments, messages or files that you frequently use, or are the most relevant, to later gain access to in a rapid manner from the top menu of your Zyncro. 

    Favorites 2.0 is the tool that allows you to have your most used entries in your Zyncro Enterprise with just a click of the mouse.

    Discover Who In Your Enterprise Social Network Has Seen Your Profile

    Thanks to this new Zyncro feature, you will be able to check out who has viewed your profile within your Enterprise Social Network and on what day they viewed it. With this ZyncroApp you will have a new tool to know what information of which you share in your network is the most useful or interesting to other members.   

    Check out who has visited your profile, at what moment, and pull out the conclusions of what content you shared that generated interest, or what influence the messages you publish have in the number of visits you receive.  

    To use this application, the administrator must first enable it from the Admin Panel> ZyncroApps.

    Once the app is enabled, you can already start using it. Just access to your profile section in Zyncro and see who has seen your profile recently by browsing the displayed list that will show you all the visitors chronologically, starting with the most recent visitor first. You will see which users have recently viewed your profile, both if they are inside your organization or even if they are from another company, the latter only if they also have this ZyncroApp enabled.

    In addition, from this very section you will have the ability to directly access the profiles of those who have seen or visited your own profile. You can do this by clicking on their user name or on the ‘View Profile’ button that you will find directly on the right side.

    Document management in your organization is now social: Box integrates in Zyncro

    At Zyncro we continue working to become the central platform for accessing knowledge in companies. We already offer two ZyncroApps to faciliate access to organizations’ documentation in the cloud, Dropbox and Google Drive.

    Now we’ve taken things further with the integration of Box, which joins the previous platforms so that your online files are available directly from your Enterprise Social Network, adding a social layer to document management in the cloud.

    Easy, fast access to corporate documents and knowledge is essential for productivity in any company. Organizations nowadays want to have all their documents in the cloud so they can access them from anywhere, at any time, and using any device.

    There are numerous platforms that let companies upload, manage and share documents online and, according to their work processes, each organization uses a different platform. At Zyncro we thought… what if you could access from our platform, from a single point, all that scattered information? And that’s what we’ve done with the integration with Google Drive first, then Dropbox and now Box.

    Zyncro enhances your productivity. Access Zyncro from Outlook and your Windows desktop

    At Zyncro, we’re always looking to be zyncronized with the leading corporate software and offer access to our platform from anywhere, at any time. So we have developed a plugin (Beta version) that creates an access to Zyncro from the leading email application in companies, and a widget to access Zyncro directly from the leading OS.

    How do I start?

    1. You can download the widget for Windows or the Outlook plugin (Beta version) directly from the Zyncro web plugin&widget section. Once downloaded, they are easy and quick to install.
    2. The first time you run the widget or plugin, you need to enter your user name and password. If you haven’t got a Zyncro account, go directly to the web to register as a new user with a free account.
    3. Once logged on, you’ll see 3 main tabs: Main Wall, Groups and Notifications.
      • In Main Wall, you can perform actions like Send messages with attached files, Comment, Like, etc. The links and videos you share or shared with you can be viewed through the widget/plugin, and you can filter messages by Corporate Messages, Private Messages, etc. On the top right, you’ll see an icon to refresh the wall if there is new content.
      • In Groups, you can access the files or messages of your work groups. Every time you access files or messages in a group, a new tab will be created that will enable you to browse them directly. You can also generate Zlinks to share or download documents.
      • Notifications: In this tab, you will see the latest notifications, load previous notifications and decide the frequency with which they are updated.
    4. If there is a new activity when the widget or plugin is updated (according to the timespan defined in the notifications section), you will be notified of this in the bottom right corner of your desktop.

    Zyncro for Windows (widget)

    The widget is a tool developed to access Zyncro from Microsoft Windows desktops (Windows XP or higher) The application lets you read, “Like” and post messages on your Corporate Activity Stream, in groups or departments, and even download or upload files, generate Zlinks, etc.

    Features of the widget:

      • SSO (Single Sign On). Users with accounts both in Zyncro and Windows only have to provide their Zyncro connection data once and can access it at any time.
      • Microblogging / Activity stream. Direct interaction with the activity stream: read, “like”, post and comment.
      • Download files. Users can download files attached to posts in the activity stream.
      • Upload files. The widget lets you upload files to groups, specific folders or attach files to a post.
      • Groups and files. Access groups, browse files, download documents and create Zlinks.
      • Notifications: The widget notifies you if there are any recent activities in your Zyncro user profile. Notifications appear frequently on the desktop, enabling you to decide how often you receive them.

    Zyncro for Outlook (plugin)

    Outlook is Microsoft’s personal information manager. It is one of the top email applications in companies, as well as including other features like task manager, calendar, and contact manager. The plugin lets you access Zyncro from Outlook (Office 2007 or higher) so that you can see what is happening in your Enterprise Social Network without leaving your Outlook window.

    What does the plugin for Outlook offer?

    • SSO. Users with accounts both in Zyncro and Outlook only have to enter their connection data once and have instant access.
    • Microblogging / Activity stream. Direct interaction with the company’s activity stream: read, “like”, post and comment.
    • Download files. Users can download files attached to posts in the activity stream.
    • Upload files. Upload files to groups, specific folders or attach files to a post.
    • Groups and Files: Access groups, browse files, downloads, create Zlinks and share links via email.
    • Notifications: The plugin notifies you if there are any recent activities in your Zyncro user profile.
    • Posts via email. This feature lets you publish posts in a group via email.

    Benefits

    1. Enhance your productivity. The widget and the plugin have one thing in common: both provide access to Zyncro from other environments, meaning you no longer have to leave what you are doing to access and work in your Enterprise Social Network.

    2. Greater usability. User experience is enhanced thanks to the incorporation of the plugin for Outlook, as managing emails becomes more social and users can interact with their network contacts while writing a mail, be it commenting on their content, replying, etc.

    3. Simplicity. Users can connect easily to exchange ideas and information, also when away from the office thanks to Zyncro’s mobile apps. Communication with external collaborators also becomes easier.

    4. Fast implementation. Implementing a plugin or a widget is an easy process that only takes a few minutes and doesn’t require any specialized knowledge for installation and operation.

    Unpack your company’s knowledge in your Enterprise Social Network: Dropbox now integrates in Zyncro!

    We’ve taken a new step towards making the platform even better: Zyncro offers you integrated access to Dropbox. This new integration joins the Google Drive integration as a tool for managing files. Soon we will announce new applications that will make Zyncro, if it is not already, the central management plaform for all your organization’s knowledge.

    How does the Dropbox integration in Zyncro work?

    The Dropbox integration ZyncroApp must be enabled by the organization’s administrator in the ZyncroApps section in the Admininstration Panel.

    As a user, you need to access the right menu in your Profile > Dropbox Integration.

    Once there, it will ask you to connect your Dropbox account with Zyncro. If you click ok, you will access a new window in Dropbox where you need to:

    • First, enter your Dropbox user data
    • Second, accept the connection between Dropbox and Zyncro

    Once you have accepted the connection, you’ll receive a notification mail in the email account associated with Dropbox and the integration will be complete. You can then start to use Dropbox in your Enterprise Social Network.

    Linking a work group to Dropbox

    To link a work group to Dropbox, you need to go to the Files & Groups > Create New Group section, and in the new tab, accept the link with your Dropbox account.

    Features

    Managing Dropbox files from Zyncro

    Within a work group in Zyncro linked to Dropbox, you need to select Manage Files. A window will open where you can select the files and folders you want to link with Dropbox. Once selected, click Accept and the files will be synchronized with your Dropbox account.

    Uploading files to Dropbox from Zyncro

    To upload files to Dropbox, you need to click Upload File and then select the files you want to upload. The file will be uploaded to the work group in Zyncro and to your Dropbox account also. When you upload files directly to your Dropbox account, they will be also synchronized with the Zyncro group; to sync them, you need to exit and then access the group again.

    Deleting files in Zyncro

    You can delete the files in the work group in Zyncro but they will continue to be accessible in your Dropbox account. However, if you delete them in your Dropbox account, they will also be deleted in the Zyncro group.

    Creating folders from Zyncro

    To create a new folder, click New Folder and enter the name and description. This new folder and the files you add to it will be synchronized with your Dropbox account.

    Changing file names in Dropbox

    You cannot change the names of files associated with a Dropbox account from Zyncro. However, in Dropbox –in a folder synchronized with a Zyncro work group– if you change the file name, this change will also be reflected in Zyncro.

    If it’s urgent… let me know by chat! Version 2.0 of Zyncro Chat is here!

    2013 is off to a strong start for Zyncro, and we have lots of new products for our users. Today, we are pleased to present version 2.0 of the ZyncroApp, Zyncro Chat, a completely renewed application, integrated with the Zyncro interface, which includes several improvements to notifications, contact management and old messages, among others.

    What use is Chat on an Enterprise Social Network?

    When referring to communication within a company, messages can be classified according to the type of content they convey into:

    1. Relevant messages, between a group of members of the organization. These are worth saving as internal company knowledge, in addition they can be commented on and are of interest in general.
    2. Sporadic messages, which need an immediate response and which are normally exchanged between two people: queries, quick questions, comments…

    To exchange messages of the first type, the microblogging system or the corporate wall, an alternative to emails which we are bombarded with nowadays, is the best solution.

    For sporadic messages, on the other hand, an instant chat or messaging technology integrated in the Enterprise Social Network of each company is the best solution.

    So, now you know… if it’s urgent, let me know by chat!

    What does version 2.0 of Zyncro Chat have to offer?

    To start chatting, the administrator must first enable the “Chat” ZyncroApp on the Administration Panel > ZyncroApps and then each user will have to activate it in Profile > ZyncroApps. This ZyncroApp is available for free for all Business accounts.

    The main improvements to Zyncro Chat are:

    • Improvements to notifications: new design, with sound, which facilitates the notification system for new messages you send to your colleagues.
    • Improvements to contacts management: chat has a search function which makes it easier for you to find the colleague you want to contact and to know if they are connected or available at that moment. Also, if you needed to, you can block people from your chat.
    • Improvements to information management: the old message system means that messages sent by chat are automatically saved, and therefore previous conversations can be recovered whenever necessary.
    • Improvements to the display: the option of opening chat in a new window allows messages to be displayed larger and more easily.

    Have you got an urgent message? Have you just remembered a task and need to notify a colleague? The new version 2.0 of Zyncro Chat is now available for your Business account! Enable it and start chatting/talking!
