    Wednesday’s Use Case: Sharing large files with the team and clients

    The communication agency DIME was working on a launch campaign for the new product from ZO&JO, one of its most important clients. For the official presentation, Mike, the agency’s multimedia manager, was preparing a video that he hoped would go viral.

    He was really proud of what they had done, but the client was very demanding, so before sending the client the final version, he decided to involve his team as much as possible. To do this, he created a private work group within his Enterprise Social Network called “Jo&Co Project”. He shared this group with all members of the agency involved in the project. Seeing that most of the feedback was positive, and the team was happy with his work, he decided to send the client the video.

    Like some other companies in the sector, Jo&Co used email mainly to communicate. The video was almost 80 MB, meaning he couldn’t send it as an attachment. Mike decided to use a Zlink to send them the client, as a Zlink is a public link that enabled him to share information found in his Enterprise Social Network.

    He grinned, thinking to himself “this will blow them away”, and clicked on the video file to create a Zlink. For confidentiality reasons, Mike gave the Zlink an expiry date and a password and set about sending the client an email with the details.

    Shanna, who was in charge of the project at Jo&Co, received the email instantly as it hardly occupied any space thanks to the Zlink. She clicked on the Zlink and downloaded the video. She replied quickly to Mike, saying that there were a few minor changes to make. Mike updated the same file he had uploaded to his Enterprise Social Network with the “Upload New Version” option. He still had acccess to all the previous versions there, and the Zlink he sent Shanna would always open the latest version of the video.

    Shanna downloaded the video once again and this time gave her approval. The agency’s multimedia manager posted the video with an excerpt of her comments on his personal wall so all his followers within the agency could see his “work of art” and share in the project’s success. Congratulations, Mike!

    How did his Enterprise Social Network contribute to the success of the project?
    • Mike managed to get the entire team involved in the project, sharing the video with everyone
    • Zlinks simplified the change of files in a more traditional communication channel, like email
    • Version control enabled Mike to access previous versions as required
    • Posting it on his personal wall meant that the people following Mike in his agency were kept up-to-date with his latest achievements for the company.

    Zyncro Features: Search (II)

    As we previously explained in the first part of this article, to search in Zyncro, you need to enter the term you want to search in the search box found in the top right corner of the screen.

    In the second part of this article, we’re going beyond the segmented search to show the additional options in the Zyncro search that enables you to get more specific results.

    You can do this in two ways:

     

    Segmented Search

    Enter the search criteria in the search box and when it shows you the results, you can use the fields that appear just below the search box on the right of the screen to refine the search:

    Sections

    You can perform a search on a specific section of your Zyncro by selecting the section and clicking on Filter. Only the items you have selected (messages/files and folders/groups/departments/people) in the section will be shown.

    The sections can be:

    • Corporate newsfeed
    • Departments
    • Personal feed (the users you can see)
    • Private messages (your messages)
    • Your different work groups

    People

    It gives you the option to restrict the search according to the person that posted the item (messages, files, etc.)

    This field is associated with your contacts and when you start to enter a text, it will suggest the users that contain the text entered.

    You can select more than one person in this field.

    Dates

    With this field, you can display the items that have been published in Zyncro during a specific period of time on searching.

    You can choose whether to display items published during:

    • the last 24 hours
    • the last week
    • the last month
    • the last year
    • and it even lets you customize the search period: posts in Zyncro from one date to another.

    These search fields are restrictive, i.e. the number of results shown are reduced according to the combination of criteria entered.

    Advanced Search

    You can also perform precise searches using punctuation symbols in the text field.

    The punctuation symbols that have been enabled for more specific searches are quotation marks and the + sign. They can be used together and separately and their function changes according to the combination used.

    The most frequent search cases are:

    Simple search (without quotation marks or + sign): Enter in the search box Word A Word B Word C – It will show you items in Zyncro that contain any of the 3 words that you have entered in the search box, regardless of the order in which they appear.

    Search using the + sign: Enter in the search box Word A+Word B+Word C – It shows you items in Zyncro that contains the 3 words you have entered in the search. If they don’t contain all the words entered, they won’t be shown in the list of results.

    Search using quotation marks: Enter in the search box “Word A Word B Word C” – It shows you items in Zyncro that contain the exact expression entered between quotation marks.

    These options can be combined to create even more specific and precise searches.

    How do I perform searches in Zyncro?

    To perform a search in Zyncro, just enter the term you want to find in the search box (top right corner of the screen).

    The search results in Zyncro will appear grouped according to the different Zyncro sections: Messages, Files and Folders, Groups, Departments/Companies and People

    Beside the corresponding tab for each section, you’ll see the number of hits for the search criteria in brackets.

    Search Results

    Messages: This tab shows all messages appearing in conversations on the Zyncro wall that include the search word. The word is always highlighted in gray.

    The types of message that appear in this section (different according to the user) are:

    • Personal news that you or the people you follow have posted
    • Corporate news
    • Private messages you’ve sent
    • Messages from departments or companies you belong to or follow
    • Messages from the groups you participate in

    Files and folders: This tab lists all the files, folders and Zlinks created for sharing that include the search criteria in their title and that belong to the groups you have access to. Only for Business plans or higher: The tab also includes files whose content contains the search term (text files: TXT, PDF, Word, Excel, HTML, etc.). The term is highlighted in gray.

    Groups: This tab includes the groups that contain the search term in their title. Like messages and files, the term will be highlighted. This feature enables you to find all those groups whose name you can’t remember by using key terms.

    Departments/Companies (depending on the organization’s configuration): This last tab gives the departments or companies whose name or description contains the search term.

    People: This tab shows you a list of user contacts that include the search term in their profile (basic information, experience and skills, etc.) This is the best tool for managing internal talent!

    Zyncro V2.3 in depth

    1.- New Zyncronizer. We have made the application simpler and clearer by installing a small programme (available for Windows for the time being) that allows the synchronization of files in Zyncrowith your computer.

    • You will now find two tabs, one called “Groups” where you will be able to select the groups (with their folders and files) you want to synchronise with your PC and the other called “Zync” to see the synchronization status.

    • The “Force synchronisation” button allows you the application to start synchronizing immediately, no need to wait.

    • With “Allow P2P transfers”, within the configuration panel (the cogwheel icon in the top right), we can indicate to the synchronizer whether or not we want to make use of the function to synchronize directly within the group members (via the P2P protocol).  In offices or local networks, this function greatly speeds up the synchronisation task and it is no longer necessary to stay online to download files.  This way the files move directly from one PC to another.

    1.- Automatic updating of the wall.  New corporate news updates, personal news or private messages will automatically appear on the wall each time they are produced.  In the top right part, you will see an indicator showing the number of updates.  In this way, it will not be necessary to keep refreshing the page to learn about any new events within your company.

    2.- Automatic registration in the domain. In order to easily create users within organisations and only for Business accounts, all users should sign up with an email domain that already exists on Zyncro and they will automatically become part of said organisation.   However, the initial validation of a domain will be done manually to verify that the client does actually have rights to that domain.

    The organisation administrator will then receive an email informing them that the users are signing up with that domain and will be able to decide whether to keep or remove them.

    3.- Recovering deleted files. If you have deleted a file or folder by mistake, you can now recover it by clicking on the link within that element on the wall.  This action can only be taken by the person that has deleted the item.

    4.- Integration with Twitter. To use this function, you should configure Twitter access beforehand from Profile > Edit my Profile > Integration with Twitter and click on “Connect to Twitter“. From there onwards, you should follow the instructions from Twitter itself to give Zyncro access permission.  Having finalized the configuration, you will be able to send Twitter updates and Zlinks from Zyncro when publishing on the wall (Personal News) or also within a group using the “Send to Twitter“option.

    In addition, with this native integration, you will be able to publish personal news on Zyncro from Twitter by adding the hashtag “#zyn” in the tweet.

    We have also improved some parts of the application visually and we have also resolved a few minor bugs.

    The powerful Zlink

    One of the functions on Zyncro that I use most to make work easier is the Zlink.

    There are many ways to use it but I would like to share a very special one with you: send Zlinks with permission to edit. I will tell you about something that happened recently.

    We were working with a freelance graphic designer on some sections in Zyncro and needed to send some functional prototypes that we had prepared.  The problem was that we had stored a lot of private information in the group.  Not only files, but also messages that were not relevant for sharing with an external contact.

    “Send him an e-mail with the files attached and problem solved” said my colleague.

    “You know? You’re right” I answered, “but I’ll do it using Zyncro anyway and I bet you I’ll cut down the e-mail Exchange by at least half”.

    So I went to the folder that contained the prototype files and hit send with the right mouse button.  As simple as that!

    Later I wrote a message to the designer explaining the situation and gave him editing permission. This way, Miguel (the designer) was able to register himself on Zyncro by following the Zlink and started working on the prototypes editing them online.

    Since then, Miguel has already invited various clients and colleagues to Zyncro in the same way.

    As a result, Zyncro and functions like the Zlink are not e-mail enemies if not a way to use them in the right measure.

    For the flu: Soup, coat and Zyncro

    In winter, viruses swarm all over.  It is very easy to catch a cold that forces you to stay at home for a few days, wrapped up warm and on a diet of hot soup.  This happened to me only a week ago.   Of course, that particular day I was supposed to have a weekly follow up meeting to discuss the results on the various tasks I was managing.

    Telecommuting

    So, with my notebook on my lap, thermometer under my arm and blanket upto my neck, Zyncro was my solution.  At the agreed time, the meeting organiser called me on Skype and I joined the Zyncro work group.  I searched for the last minutes of the meetings and we did the weekly follow up in real time.  From home I was able to participate with the others as if I were in the office.  When we had finished, I reviewed the new minutes to ensure that everything was clear and that the previous days’ tasks had been correctly completed.

    And not just that.  During the meeting, one of the sales reps sent me a message asking me for information about Zyncro security in order to respond to a client who was doing a demo in that instant.  I could not remember where but I knew we had a PDF that spoke of it.  I searched for “security” using the Zyncro search and in the file results I saw the document as the first result.  Following this, I generated a Zlink and sent it to my colleague by means of a private message.

    Anyway, it was as if I had been in the office!

    The next day and ready to work from home, it was not necessary for anyone to bring me up to date.  This way I was able to rest and recover from my cold feeling more relaxed as I knew that everything was going smoothly at the office.

    It is so easy to work from home with Zyncro!
